STAFTIME

Time and Attendance Recording


Most staff employed in UK organisations now have the right to ask for flexible working arrangements. Where these requests are granted employers will need to keep accurate records of their staff's time and attendance. STAFTIME is intended for use in organisations of all sizes and complexity where staff work semi or fully electable hours ("flexitime" schemes) or are called in as and when required.

This self-contained computer system is designed to automate the recording of staff attendance records and to provide immediate and comprehensive management reporting and analysis. No fixed wiring is required and initial installation and set-up is quickly and simply achieved on existing computer equipment.

There is no requirement for special or extensive computer skills on the part of those who will administer the system and staff in general take to the system very readily.

Developed to ensure high performance and offering fast and consistent response times regardless of the staff numbers involved STAFTIME needs little or no operator attendance and is therefore suitable for use in part time or unsupervised locations.

STAFTIME is available on single user PCs running a suitable version of Microsoft Windows or compatible network environments running Windows NT, 2000 or XP Server.

We offer a free systems integration service whereby suitable computer files may be extracted automatically from STAFTIME for processing by your existing payroll and personnel systems.

STAFTIME offers the following powerful features and options:
  • choice of data capture method – barcodes, direct PC entry or timesheets
  • nine different attendance schemes - each with their own rules - can be set up and operated at the same time
  • built in, user maintained calendars remove any need for manual adjustment or crediting of statutory holidays, weekends etc
  • staff work-pattern templates allow the system to report missing or incomplete input and to check the reasonableness of the attendance records entered
  • staff attendance records are immediately available, on screen or by report, to answer any queries that may arise
  • immediate access to two year's attendance records covering the current and prior year
  • management information reports clearly identify scheme rule infringements
  • full analysis of all staff activities - attendance hours, holiday and sickness absence, training, flexi leave etc - is maintained automatically and is available on demand
  • running balances - showing hours to date against allowances - are automatically maintained providing vital feedback to staff and management
  • multi company support for installation in multi-occupancy buildings
  • free text notes can be added to a staff member's attendance record at any time and subsequently searched - and printed if required - using any fragment of text as a key
  • full system security is provided through a system of unique sign on names and passwords (which can be changed at any time)
  • clients taking the bar code option have the option to pre-issue barcoded visitors’ passes thus enhancing security
  • manual record keeping is eliminated, longer periods of absence - holiday, sickness, training etc - are entered by administration staff using barcoded calendars
  • the powerful Print or View feature allows all reports to be displayed on screen and searched prior to printing
  • any report or part of a report can be selected for extraction to whichever spreadsheet or word processing package is in use

One single method of attendance data entry is unlikely to suit the requirements of all user groups. To provide the kind of flexibility your users need and to ensure the high level of user acceptability staff attendance recording systems must achieve to be successful, STAFTIME provides three ways to record attendance data:

  • a choice of handheld, "no wires" scanning devices including our latest offering the PopUp SDIO, the C-Pen and traditional DataWands
  • fixed bar code, magnetic stripe card or RFID readers
  • direct entry at a PC using PopUpPLUS

and traditional hand-completed timesheets in a variety of formats.

The C-Pen portable barcode reader offers a quick, largely subconscious and error free method of staff attendance recording. For staff members not using a C-Pen to record their time activity (ie in conjunction with DATATIME) a minimum of one central C-Pen is required to be shared by all staff members of the scheme.

C-Pens are set with the current date and time (and personally allocated C-Pens include a unique user identification) and these are used by STAFTIME to determine the attendance times and dates of staff. Appropriate barcodes are automatically produced in a choice of label and list formats.

Once the desired barcodes are set up, attendance is recorded by staff simply scanning the appropriate barcode to identify whether they are "In" or "Out". Where shared, centrally located C-Pens are in use this is accompanied by an initial scan to identify the staff member.

Descriptions or translations of each barcode recorded are automatically and immediately shown on the C-Pen display screen. Downloading a C-Pen – via either the built-in infra red port or the serial interface/battery charger cable - will take less than 60 seconds and a print-out of the attendance records can be produced for review or amendment and confirmation, as required. Downloading attendance data from the C-Pen can be carried out as often as is required.

Capturing attendance data using the workstation PopUp is designed for staff with easy access to a workstation running any version of Microsoft Windows®.

The STAFTIME PopUp screen is accessed via a Windows desktop icon and attendance records are made by staff members "Clocking In" or "Clocking Out" by clicking the button. A red or green icon depicting whether you are "In" or "Out" is displayed accordingly in the workstation's System Tray which appears on the Taskbar in the bottom right hand corner of the workstation desktop.

The workstation’s clock is used to determine the date and time of the attendance record. The red clockface shown below indicates when a DATATIME time transaction is active by changing colour to green (for "running") or yellow (for "paused").



STAFTIME maintains an Attendance Record for each user on the system which can be accessed via the PopUp for entering occurrences of non-attendance (eg holiday, sickness etc) and for manual amendment of attendance times.

Up to 8 "in/outs" can be recorded each day with attendance times automatically monitored by the software comparing them against the attendance profile for the member of staff (eg core hours, minimum daily hours worked) and will show (using a variety of colours) when the attendance criteria for the day have not been met.

Staff attendance records are usually extracted at the end of a day by a systems administrator activating a command from STAFTIME which will sweep up all outstanding attendance data entered from workstations., process those records and produce detailed comprehensive reports.
